As a secretary, my job is to make agenda for every meeting, but also organize club documents and pictures after the meeting. I think I have fulfilled well of my role.
And I also did quite a lot outside my range to help improve the overall meeting quality.
Why do I emphasize the meeting quality so much ,I’d like to ask a question ,there are so many English Clubs in Nanjing,why did you choose Nanjing No.1 ?
Of high quality ,right ?
As a non-profit organization ,meeting is our only product ,only by increase the meeting quality ,can we last long.
So instead of directly copying the meeting personnel arrangement from the VPE , I discuss a lot about why we put the person in the particular role in consideration of improving the overall meeting quality .In addition, I help to invite competent speakers and evaluators to our club, aiming at giving our meeting an advanced sense.What's more ,during the meeting, I found the old club function role forms not a good guide. So I revised them , had them printed and distribute them to every function role prior to every meeting, it has also helped every function role to play their best in the meeting.
All the three measures I take can not be simply considered as the responsibility of secretary .However ,I think we have to think big .
Back to the agenda making, I find it very interesting for the following two reasons:
Firstly, with a proper understanding of how agenda is made, I develop a comprehensive and specific understanding of how to organize an activity, which is useful in both personal life and working life.
Secondly , I am always wondering what may happen if a small difference is made .So Every time I try to make some improvements compared to the last ,the difference may be easily seen as the layout change ,size of the character or location of the some pictures, or one extra question in the voting . Some changes can not be easily seen ,for example,we got two birthday parties ,where our VPM brought a cake but there was no birthday person in presence, which was awkward .Superficially ,it had nothing to do with the agenda .But I thought something had to be done to prevent it from happening again .So last week ,with some changes ,you witnessed a good birthday party.
It is the attitude to make a small difference in every meeting constantly gives me the joy and excitement of attending our activity continuously .Being an officer is a lot of fun. All the fun elements combine into a net where I feel improving English output skill is natural and at ease.
