回复邮件
及时回复邮件是一种商务礼仪。那些迟迟不回复邮件的人,人们对其信任感会逐渐降低,一种把事情交给他心里就不踏实的感觉会油然而生。
即便你没时间仔细地回复对方的邮件,简单地写一句 - I'm working on it. 或者 - Noted, thanks. 都是有必要的。
对于你不能办到的事,就回复 - I'm afraid that... 或者 - Unfortunately, we are unable to...
在你的回邮中提及对方的邮件,会给对方一种思路清晰、办事仔细的印象。你可以这样写 - With reference to your e-mail of March 28...;
当对方发邮件询问你公司的产品或服务,你最好能在回复时向其表达谢意 - Thank you for your inquiry of May 10 and for your interest in our products.
跟进工作
有时候,人们在电话中言之凿凿的事情,一转头就发生变化。为了避免对方忘记电话中的约定,最好马上给他发一封邮件,书面明确双方达成的意向。
你可以这样写 - Further to our telephone conversation just now, I would like to summarize our agreements as follows...
询问进展
当你需要向对方了解工作进度时,可以这样写 - Further to our discussion last week, I would like to know the recent situation of the project...
还可以这样写 - Just following up in regards to our discussion last week...
表达友好
Email是一种与对方建立关系并且展现你职业形象的沟通工具。 Email写得过于短促,会给人生硬冷漠的感觉。
在结束语上写- If you require more information, we would be happy to... 或者 - Should you have any question, please contact me freely。这些句子能够反应出你对对方的友好态度和你的职业素养。
说明意图
开门见山地告诉对方你发这封email的用意,可以让他迅速地理解你的邮件内容,并尽快做出回应。
你可以这样写- I am just writing to... 或者 - Just a short e-mail to request / confirm / inform you that / ask if / clarify...
表达歉意
当意识到自己的失误时,及时诚恳地道歉可以避免事态进一步恶化,最大限度地减少损失并挽救你的职业形象。
你可以这样写 - We must apologize for (not).../- We deeply regret... 或者 - I do apologize for any inconvenience caused. 或者 - I am really sorry for/about...
传达喜讯
把好消息通知对方时,有四种常见的写法:
1.We are delighted to confirm that...
2.We are pleased to inform you that...
3.You will be pleased to hear that...
4.I'm happy to...
第一种给人居高临下的感觉,第二种是中性语气,第三种对方看起来亲切舒服,第四种行文比较随意。
请求回复
当你希望得到对方的答复时,用委婉礼貌的语气写邮件比用直接强势的语气好。
比如,- Would you please confirm...?和- Please contact me at your earliest convenience. 比- Please reply without delay. 和- Please let us know as soon as possible. 更让人容易接受。
请求帮助
当你请求对方做某事时要注意三点:
1.语气委婉、态度恳切;
2.把你的期望表达清楚;
3.给对方预留足够的准备时间。
邮件中常用的句子有:
- We would appreciate it if you could...
- I'd be grateful if you could... -Could you please...?
- Would it be possible for you to...?
索取信息
当你写邮件向对方索取信息时,可以用这些起始句:
- I am writing to inquire about...
- I read/heard... and would like to know...
- Could you please send me... at the address below/above.
当你要的东西比较简单,可以直接写Would you send me...
如果要的信息比较复杂,就要在邮件上放一个问题清单,让对方逐一回答。或者在邮件中附上一个表格让对方填写。主动引导对方以你需要的方式提供信息,总比让他们天马行空地回复你好。
结束语要首尾呼应,表达谢意:
- Thank you for your assistance.
表达谢意
表达谢意时,常用的句型:
- We would like to express our sincere thanks for ...
- We'd like to thank you for...
- Thank you once again for your help.
有诚意的道谢是告诉对方你对什么事情表示感谢。随意的道谢是Thanks!一个词。无诚意的道谢是Tkx,就一个缩写。
附件提示
一封邮件的正文只说一件事,并且要尽量简明扼要,节省对方阅读的时间。假如一件事比较复杂,比如参与方很多、步骤很多时,就要把你要传达的信息做成表格或者PPT放在附件中。
不要忘记在正文处提醒收件人看附件。你可以这样写
- Please find attached/enclosed...
- I'm attaching.../I've attached...
邮件结尾
常用的结尾句
- Do not hesitate to contact us again at (86)XXXX if you require further assistance.
- If you have any further questions, please contact me by e-mail.
- Let me know if you need any more help.
- I look forward to meeting your next week.
