The best way to catch these disconnects is to tell myself a story in a sequence, considering dependencies I’ve gleaned from previous conversations.

EXAMPLE 2

Martin from the sales team: “We will be launched by Friday.”

Kim from the operations team: “We will be launched by Friday.”

You (synthesis): “I believe the sales contract needs to be signed before the operations team can be done with their work. Martin, when you say that you will be launched, does that mean the contracts will be signed or something else? Kim, when you say you will be launched, are you leaving enough time to do the configuration that needs to be done until after the contract is signed by Martin’s team?”

Martin: “Our contracts will be signed on Friday.”

Kim: “After we get the contracts from you, Martin, we’ll need another week to finish configuration.”

You (synthesis): “That means that we will be fully launched next Friday instead of this Friday, correct?”

Martin and Kim: “That’s correct.”

When you use this technique, you will need to faithfully represent the opinions and information as they are stated.

While you do want to attempt to draw the conclusions, the inputs should not be cluttered by your own opinion.

You are a mediator, connecting two parties. To have credibility in that role, people must trust you to understand their words and paraphrase properly.

When you do it correctly, you will succeed in expediting the proper handoff between the two teams and also earn some appreciation for clearing up misconceptions about dependent work.

Route handoffs to reduce gaps between tasks

Once dependencies are clearly articulated and acknowledged, you want transitions to happen as quickly as possible.

Between a task being completed and being picked up by the next person in the relay, there is always a pause.

Reducing the length of that pause will improve your overall completion time.

Author Madeleine L’Engle introduced a wonderful metaphor for how to gain efficiency in her classic story, A Wrinkle in Time.

In the book, a scientist explains that people think of time on a continuum, like an extended piece of rope. However, “A straight line is not the shortest distance between two points.”

You can time travel by creating a “wrinkle” or a fold in the rope to shorten it.

When you expedite handoffs, you are doing something similar to time traveling by shortening the overall time it takes to complete a task.

You can shorten time by reducing the pauses, essentially creating your own folds in the overall timeline.

To do it, learn each person’s role and area of expertise.

Having that knowledge will allow you to understand the best person to receive each handoff.

You want to brace both the person sending as well as receiving for the exact point in time when the handoff will occur.

Then, when a person is ready to hand off, you tag the person receiving the handoff to reduce any pause in the transition.

With this approach, you create your own “wrinkle in time” by removing the pause.

Let’s continue the conversation between Martin and Kim from our sales and operations team a few days later.
